Privacy policy

Coskeys Driving School (“Coskeys”, “we”) runs driving instruction in Pretoria, South Africa, and operates the booking and progress system on this site. This policy explains what personal information we hold, why, and what you can ask us to do with it. It is written to meet the Protection of Personal Information Act, 2013 (POPIA).
Who is responsible

Information we hold about students
To teach someone to drive and book their test, we keep:
- name, phone number, email address and pickup address;
- a parent or guardian's contact details, where the student is a minor;
- South African ID number and learner's licence details, which the licensing authority requires in order to book a test;
- lesson dates, times, the assigned instructor and what was paid;
- progress against each driving skill, and instructor remarks;
- copies of documents you send us for a test booking — ID, learner's licence, DL1 form, eye test certificate and photograph.
We collect this from you directly, or from a parent or guardian booking on your behalf. We do not buy personal information from anyone.
What we use it for
Scheduling and running lessons; booking driving tests on your behalf; invoicing and recording payments; sending progress reports after a lesson to you and, for a minor, to a parent or guardian; and keeping the training record we are expected to hold. We do not use it for advertising, we do not sell it, and we do not share it for anyone else's marketing.
Google account data
Our office books lessons in the Coskeys Google Calendar. The system signs in to our own business Google account and reads that calendar so those bookings appear on each instructor's schedule in the portal.
- We request read-only access. The system cannot create, change or delete anything in that Google account.
- We read only the Coskeys business calendars. Access is granted by a Coskeys administrator for the business account — never by students or site visitors, who are not asked to connect any Google account.
- From each booking we take the student's name, the date and time, the instructor, the vehicle, and the contact details and address the office recorded on it. That is stored in our own database and used only as described above.
- Google data is not used for advertising, is not sold or transferred to anyone else, and is not used to develop, improve or train generalised artificial-intelligence or machine-learning models.
Coskeys Driving School's use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
A Coskeys administrator can disconnect this access at any time from the Google account's security settings, which immediately stops any further reading.
Who else touches the data
We use service providers to run the system, and they may process information only on our instructions: Vercel (website and application hosting) and its managed PostgreSQL database provider, where the records are stored; Google (calendar and document services for our business account); and an email provider used to send progress reports and invoices. Where we take card payments online, they are handled by the payment provider — we do not receive or store your card number.
We will also disclose information where the law requires it, for example to a licensing authority when booking your test.
Where it is kept, and for how long
Records are stored in a managed database and may be processed on servers outside South Africa. We keep a student's training record while they are with us and afterwards for as long as we may need it to answer a query about their training or to meet a legal obligation. When a record is no longer needed it is deleted.
Keeping it safe
Access to the portal requires an individual staff login, and the training records are visible only to Coskeys staff. Traffic to the site is encrypted. Any credentials we have to store for booking tests on your behalf are encrypted, and only an administrator can view them. No system is perfectly secure, but we take these steps seriously and will tell you and the Information Regulator if a breach affects your information.
Your rights
You may ask what we hold about you, ask us to correct it, ask us to delete it where we are not required to keep it, and object to a particular use. Ask by emailing info@coskeys.co.za. If you are unhappy with how we have handled your information, you may complain to the Information Regulator of South Africa.
Children
Many of our students are under 18. Where that is the case we take booking details from a parent or guardian, and we send progress reports to them as well as to the student.
Changes
